A workspace is a shared home for a team, a project or the whole firm: files, folders and the people who may see them. Everyone works on the same current version, with the same history behind it. The spreadsheet called final-final-v3 dies here, unmourned. Access follows the workspace. Add someone to Projects and they can reach Projects: nothing else, nowhere else. Move them on and their access moves too, with no folder-by-folder archaeology. Workspaces get the same continuous backup and versioning as personal files. When a laptop dies or a colleague leaves, the work is simply still there, because it never lived on the laptop in the first place.

Each colleague gets a company account that signs them into the cloud, and on CalyOS machines, into the computer on their desk. Same password or passkey at the desk and on the train. Joining is a morning, not a week. Create the account, add it to the right workspaces, and the new colleague has mail, files and a working desk before the first coffee. Leaving is one switch. Disable the account and every door closes at once: cloud, mail, workspaces and any enrolled machine. Their work stays in the shared spaces, because that is where it always lived. No shadow accounts, no shared passwords on a sticky note, no wondering what an old contractor can still open.

Groups do the heavy lifting. Sort people and machines by team, site or role, and give each group its own rules. New members inherit them on arrival; nobody configures anything by hand.
