How long we keep your data.

Every kind of information we hold, the reason we hold it, and the day it goes. Written plainly, so you can hold us to it.

The short version

We keep it only as long as we need to.

Here is every category of data we hold, why we hold it, and the point where it gets deleted. No vague promise about "a reasonable period". When the reason for keeping something ends, we remove it, and that includes the copies sitting in our backups. If you would rather talk it through than read it, a real person is one message away.

The two rules

Everything here follows two rules.

Rule one

We keep it only for a reason

Account details, orders, support notes: each one sits with us because there is a job it is doing right now. Sign-in needs your account. The tax office needs your invoices. Take the reason away and the data has no business staying.

Rule two

When the reason ends, so does the data

The day a reason expires, deletion starts. Your live records go first, then the copies age out of our backups on their normal cycle. Nothing lingers in a forgotten folder because someone might want it one day.

Category by category

Every kind of data, in plain sight.

Your account details

Your name, your sign-in and the settings that make your account yours.

We hold these for as long as your account is open, because that is what signs you in and keeps your preferences where you left them. Close your account and we start removing them. The live copy goes quickly. The copies in our backups clear on their normal cycle soon after, and then that account is gone.

Orders, invoices and payments

What you bought, what you paid, and the receipts that prove it.

Financial records are the one place we keep things longer, and not because we want to. Tax and accounting law requires every business to hold on to invoices and payment records for a set period, and we follow that to the letter. Once the law no longer requires a record, we delete it. We never keep a receipt past the point where we are allowed to let it go.

Your conversations with support

The emails, chats and call notes from the times you asked us for help.

When you contact us, we keep the thread so the next person who helps you can see what already happened. It saves you repeating the whole story from the start. We hold these while they are still useful, then clear them out. If you would rather a conversation was deleted sooner, ask, and it will be.

Emails and your preferences

Whether you said yes to hearing from us, and what about.

If you sign up for updates, we keep a record that you said yes and what you wanted to hear about. That record is what keeps us honest, so we only send what you actually agreed to. Unsubscribe and we mark you as opted out, then remove the underlying details we no longer need. We do keep the plain fact that you opted out, because that is how we make sure we never email you again by mistake.

Visits to our website

The basic, short-lived data a website gathers as you browse.

Like most sites, ours notes a little about how pages are used, so we can fix what is slow or confusing. This kind of data is short-lived by nature and is not tied to your name. You control it from the cookie banner on your first visit, and you can change your mind whenever you like. Turn it off and we stop collecting it.

“We delete by default. Keeping your data is the exception, and it always has a reason you can see.”
The Calyraen data promise
When you want it gone

Ask, and it goes.

You do not have to wait for a reason to expire. At any point you can tell us to delete your data, and we will. Here is exactly what happens when you do.

How deletion works

From your request to gone.

Ask us to delete your data and this is the path it takes. No hoops, no hold music, no small print that quietly keeps a copy.

  1. You ask

Send the word from your dashboard or in a message to support. You do not need to give a reason, and we will not try to talk you out of it.

  2. We remove the live copy

Your data comes out of our active systems first, so it stops being used straight away. We confirm to you when it is done.

  3. The backups catch up

Backups exist to save you from a bad day, so they hold recent copies for a short while by design. Yours age out of that cycle right after, and then the deletion is complete everywhere.

Straight answers

The questions people actually ask.

Do you keep my data after I close my account?

Only the records the law makes us keep, like invoices, and only for as long as it says. Everything else is deleted, backups included.

Does a deletion really reach your backups?

Yes. Backups run on a rolling cycle, so a deleted item is never restored into them and ages out on its own. Once it does, it is gone from there too.

Can I get a copy of what you hold about me?

Yes. Ask from your dashboard or through support and we will send you everything we have on your account. It is your data, so it costs nothing.

Do you sell my data or hand it to advertisers?

No. We do not sell it, rent it or trade it. We hold what we need to run your account and help you, and nothing beyond that.

Where is all of this actually stored?

In European data centres, under European privacy law. If you want the detail, our other policies cover where your data lives and who can touch it.
